Privacy Notice

How HALSO handles the information you give us. Effective August 2026. This notice covers the application at halso.health/apply, the newsletter, and the member community.

The short version

HALSO does not sell member contact data. HALSO does not provide member or applicant rosters to sponsors, and does not release your contact details to a sponsor or partner as a benefit of their sponsorship. Applications and verification records are used to operate HALSO and nothing else.

What we collect and why

When you apply at halso.health/apply we collect your name, work email, job title, and agency or organization, plus the questions specific to the path you selected — for example your government level and area of responsibility for a public-sector application, or your organization category for a partnership inquiry. We collect only what is needed to review and respond to your submission.

We also record the page you applied from, the date and time of submission, and campaign attribution values if you arrived from a link carrying them. We do not store arbitrary or sensitive URL content, and we never place personal information in a URL.

If you subscribe to The HALSO Brief we collect your email address for that newsletter only. Subscribing does not create membership and does not begin an application.

Verification

Public-sector membership is reviewed by hand. A person at HALSO confirms your role and agency, which may include checking publicly available information such as an agency directory or a professional profile. We do not run background checks, and we do not collect government identification, financial information, or health information.

How we communicate with you

We use your email to acknowledge and respond to your submission, to send programme information relevant to your membership, and to send the newsletter if you subscribed. Every marketing message carries an unsubscribe link. Operational messages about your own application or account are not marketing and are sent regardless of newsletter preference.

Introductions

HALSO brokers peer introductions on a mutual opt-in basis only. We ask both people before making an introduction, we record that consent and its purpose, and we never route contact details in bulk. There is no browsable member directory.

Service providers

HALSO uses a small number of service providers to operate: a website host, an email delivery and marketing platform, a hosted community platform for the member forum, and web analytics. These providers process information on HALSO’s instructions, only to provide their service to HALSO. They are not permitted to use your information for their own marketing, and they are not sponsors receiving a benefit.

Analytics

We use Google Analytics to understand which pages are used and how people find the site, with IP anonymisation enabled. We do not send form field contents — names, email addresses, job titles, agencies, free-text answers, or nominee information — to analytics. We do not build individual profiles and do not provide person-level activity to sponsors.

Retention

We keep application records for as long as needed to review them and to maintain an accurate record of who was contacted and why, which is what prevents duplicate and unwanted outreach. We keep member records for the duration of membership and a reasonable period afterward. We remove records sooner on request where we have no operational or legal reason to keep them.

Your choices

You can ask what we hold about you, ask us to correct it, ask us to delete it, unsubscribe from any marketing message, or withdraw an application at any time. Write to tara@halso.health and we will respond. Withdrawing an application does not affect any other relationship with HALSO.

Public-sector participants

We recognise that public officials operate under agency ethics rules, records-retention obligations, and public-records exposure. We do not use an official’s name, title, agency, attendance, or participation to imply endorsement without documented permission. Designated public-sector-only discussions are not recorded and are not shared with sponsors. An official may decline any form of participation support without affecting membership or standing.
